The New Hire Process Management Challenge

The hiring process is often an inefficient and manual workflow nightmare. Business unit managers conduct the interview process and generate offers. Logistically that’s just the beginning as adding new employees involves performing background checks, ordering supplies, creating network access and e-mail accounts, setting up phone service, scheduling orientation, choosing benefits, and countless other details.

Unfortunately, there is no efficient way to notify the relevant staff and to track when tasks are completed. Many of these tasks go unfulfilled, delaying the new hire process, or creating an awkward and painful onboarding experience for the new employee.

A New Hire Process Workflow Solution

Using Nutrient Workflow for the employee onboarding and new hire process, the hiring managers submitting a new hire request have complete visibility to all tasks as they are performed before, during, and after the process: HR, Information Technology, Facilities, Finance, and Accounting. Each group assigned to a task is automatically notified via email and through Nutrient Workflow’s web portal. Hiring approvals are documented and additional information (new user accounts, system access, fulfillment dates, benefits packages, training schedules) needed by each group is obtained and attached to the request.

Managers are alerted to delays in scheduling or services, and escalation is automatically initiated with pre-defined business rules. Participants in the process are kept aware of a new hire’s status at all times. If a manager is unavailable to make an approval or complete a task, Nutrient Workflow can automatically escalate the process to backup approvers with pre-defined business rules.

By using an automated new hire process tracker, Nutrient Workflow drastically reduces the need for HR and managers in the field to call everyone for status updates and it cuts approval time for new hires from weeks to days (sometimes hours) and eliminates errors in the process.

Implementing a New Hire Process Automated Workflow

Our self-service employee portal allows end users (managers, employees, HR staff, etc.) to submit, approve, and track any new hire request. The company assigns process administrators to Nutrient Workflow to implement the new hire process rules and any forms that will be used to gather information. Nutrient Workflow automatically sends approval notifications to the right people, reducing the chances of confusion while maintaining the current status of the request.

Nutrient Workflow can integrate with external systems (HRIS, ERP, CRM, etc.) to reduce the need for re-entering information gathered in a request.
